1. ERA Processing Overview
This guide provides a quick reference for payment posting. Let's begin with ERA processing. The ERA processing screen allows you to review your ERAs and instruct the system to automatically post them. First, navigate to Payments, then ERA Processing. Next, update the date to the date of entry, and specify the date range for when the ERAs were received. Finally, select the appropriate billing entity and click View. To automatically post, check the box next to the ERA file name and click Process. A red message will confirm successful processing.
2. Reviewing and Manually Uploading ERAs
To review payment posting, click the Payment Posting button or navigate to Payments, then Payment Posting. Now, let's look at manually uploading ERAs. First, go to Payments, then Payment Posting. Click Upload ERA (835). Next, click Choose File and select the ERA 835 file from File Explorer. Click Upload. Note that only one file can be uploaded at a time, so repeat this process until all files are uploaded. Finally, to review processed ERAs, the Payment Posting screen allows you to review automatically and manually posted EOBs. For more information, refer to the Payment Posting Screen Explained section.
3. Navigating Insurance Payment Posting
Click the Batch# to access the Insurance Payment Posting screen. Review the information within Insurance Payment Posting. To see claims associated with the batch, check the bottom of the screen. Click Post Payment next to a claim. Under All Payment Information, click the Batch#. Review payments and adjustments, making changes as needed. Click Sign and Save, then Close. If everything is correct, proceed to locking your batch, with instructions in the Locking Batches section. Now, let's look at manually posting EOBs. Go to Payments, then Payment Posting. At the top, click the button matching what you want to post.
4. Creating and Associating Batches
Fill out the required fields, including Billing Entity, Facility, Insurance Name, Check EFT#, Check EFT Date, Post Date, Extra Amount if needed, Deposit Date, Payment Method, and any relevant notes. Click Create Batch. To upload an EOB copy, click Add/View Attachment. Next, associate claims to the payment using the search criteria. Fill out one or more boxes, then click Search Claims. Click Post Payment on the claim line. Finally, click Detailed Payment Posting View/Update at the top of the popup.
5. Completing Payment Posting Details
Fill out the boxes below the Equal Payment Posting dropdown. Select the Revenue Code, then Post to: Allowed Amt($). Enter the total allowed amount for the revenue code in Amount($). Click Apply. The system will automatically divide the payment, and totals will appear at the bottom. Repeat steps 10 through 12, following the dropdown menu until the EOB is complete. For example, begin with Allowed Amt($), move to Payment ($), then Deduct($) (PR-1), etc. You will see the system automatically apply the payments. After verifying the payments, click Sign & Save, then Close on the popup.
6. Locking and Unlocking Batches
If the batch looks good, proceed with locking it. Locking batches prevents users from making updates to posted payments. Go to Payments, then Payment Posting. Select the batch you want to lock, then click Lock Payment. Now, let's look at unlocking batches. If a batch has been locked, follow these steps to unlock it. Go to Payments, then Payment Posting. Update the search criteria, including Date, Billing Entity, and Lock/Unlock Status: Lock. Click View.
7. Unlocking Batches and Payment Posting Screen
Check the box next to the batch that needs unlocking, then click Unlock Payment. Now, let's review the Payment Posting Screen Explained. Go to Payments, then Payment Posting. The Date dropdown includes DOE, which is the date of entry when a remittance was received in the clearing house. Post is the date when the payment was posted in Billing Manager. Deposit Date is when the payment was deposited to the bank. Note that Billing Manager does not have access to bank information, so it cannot enter deposit dates automatically. The Deposit Date can be entered on the Insurance Payment Posting screen.
8. Insurance Payment Posting Details
Check/EFT Date is when the payment was issued by the insurance. The Lock/Unlock Status dropdown includes several options. Tip: Use this dropdown to clean up your screen and only see necessary batches. All shows all batches, regardless of status. Unlock shows errored and unlocked batches. Lock shows completed batches. Click Detailed Payment Report to get a CSV of every claim included in the batches based on the search criteria. Color coding is as follows: Orange batches have an error and need to be addressed before locking. Green locks are unlocked posting batches ready for review. Red locks are locked batches that have been reviewed and cannot be updated. Click the paperclip icon to review the EOB/835.
9. Insurance Payment Posting Screen Explained
The bottom of the page provides totals. Now, let's review the Insurance Payment Posting Screen Explained. Go to Payments, then Payment Posting. Click the Batch# to view the Insurance Payment Posting screen. Manage the batch status by updating the Batch Status dropdown. Add notes to the batch using the Notes text box. To see claims associated with the batch, look at the bottom of the screen to see a list and their details.
10. Claim Details Navigation
To see more details about the EOB for a specific claim, click the PDF icon under EOB. To see more details about the claim, click Post Payment. This will take you to the Claim Details page. To return to the Payment Posting screen, click All Batch. Now, let's review the Claim Details Screen Explained. To get here, go to Payments, then Payment Posting, then click on a Batch#, then click Post Payment next to a claim. You can update the Claim Action/Status dropdown.
11. Single Line Posting View
This will allow you to rebill, send to secondary, or bill to patient. After choosing an action or status, click Update Claims.
12. Detailed Payment Posting View Explained
This screen is used to review payments that have been manually posted. To get here, go to Payments, then Payment Posting, then click on a Batch#, then click Post Payment next to a claim, then Detailed Payment Posting View. To add more quotes on the remits for further clarification, click the blue plus symbol. Under the Adj. 1($) (CO-45) column, you can see that it defaults to write off. To add additional information, such as $23 going to a sequestration amount, put that under Adj. 2($), then type your code in the Remit box. Next, choose Do Nothing, Transfer, or Write Off. Do Nothing means the balance will not change. Write Off means to get rid of the adjustment. If you choose Write Off, click Sign & Save, and the system will make the adjustment for the $23 and another adjustment using the sequestration AR code 253. To mass update all lines with the same adjustment code, choose an option under Equal Payment Posting. Procedure Wise is based upon CPT/HCPS codes. Revenue Wise is based on the Revenue Code.
13. Finalizing Payment Posting
Fill out the following: Procedure Code/Revenue Code, matching the procedure codes listed below. Post to: select the name of the column you want to mass update. Amount($): enter the total amount that will be reflected on the ERA or EOB. Remit Code: select the applicable option. Note: If a remit code is not available, add it via Master, then Master List, then Remit Code. Action (defaults to Do nothing): choose Do nothing, Transfer, or Write off. Click Apply. When finished, click Sign and Save.
